Accounts Receivable Aging Example
Description: The Accounts Receivable Aging, or AR Aging, is the perfect tool keep track of amounts due to you or your company.  We've set this AR Aging up so that it can be quickly completed and maintained.  AR Agings are commonly used to assist in:
  1. Determining What Needs Attention - The longer amounts due remain unpaid the more difficult it may become in collecting these amounts.  Having an updated aging handy will help prioritize collection efforts.
  2. Preventing Sales to Slow Customers - Use the AR Aging to ensure slow paying customers are paid in full before making additional sales.  Filter or sort this list by customer to see the standing of individual customers.
  3. Calculating a Reserve - If only everyone paid for the goods and/or services they received.  Because it's likely collection of accounts receivable is not guaranteed, there may be a need for the establishment of an AR Reserve (i.e., Allowance for Bad Debt).  Using an AR Aging as part of this analysis will help in accurately calculating such a reserve. 
  4. Testing Your Aging System - Sometimes its a good idea to test your system.  Auditors will recalculate the AR Aging, produced from an accounting system, during an audit; ensuring the system is functioning as intended.  Why wait when you could do it yourself? 
How To Use: We've made this spreadsheet simple to use and keep up to date.  The following list contains some basic instructions for use. 
  • Update cells that are Red with current information.  The only cell that must be completed is the Aging Date - this will be the date that individual invoices will be aged against.
  • Use the Toggle options, in the upper right hand corner of the spreadsheet, to select between an aging based on Due Date and one based on Invoice Date; the formulas will automatically update.
  • To add rows you can either A) copy and paste all of your data into the table > the appropriate number of rows will be added or B) click on the last cell under the > 90 column and push the "Tab" button on your keyboard > a new row will automatically be added.  With either method the formulas adjust accordingly.
  • Reconcile to the general ledger - make sure the information entered agrees with what's in your system.

Features Included in this Template 
This AR Aging template includes the following features designed to increase efficiency and enhance functionality:
  • Conditional formatting for data entry - notice at the top of the picture above, the pink highlights, this is data that needs to be completed.  
  • Option buttons - to toggle between having your AR Aging based on Invoice Due Date or Invoice Date.
  • Excel Table - Formulas are atomically added with each row that's added, totals automatically update, and you have the ability to adjust the table options using the Design tab on the Ribbon (when any cell is active in the table).
  • Setup to print on a single page wide, but as many pages as needed long; print settings may need to be adjusted if data is added.
Note, remember the formulas included in this AR Aging template need to be reviewed to ensure they are appropriate for your situation.  We also highly suggest locking the cells with formulas so they are not unintentionally modified.
